Manning PTA Committees – Roles & Responsibilities

Battle of the Books
Help Mrs. Edoff, organize student groups, order champion gift cards, prep for Battles as needed.

Chess
Coordinate with Jesse Cohen, chess instructor. Work as a liaison between Jesse and Manning to determine a day of the week and time for Chess, noting conflicts with school activities.

Chili Cook-off
Coordinate all aspects of the annual Chili Cook-off. The silent auction is typically concurrent with the chili cook-off but is coordinated by another volunteer.
1. Confirm date and venue
2. Solicit Chili Cookers (with help from Exec Board and Communications)
3. Solicit volunteers (with help from Exec Board and Communications)
4. Solicit dessert bakers (with help from Exec Board and Communications)
5. Work with building custodial staff (if at Manning) on room setup and requirements
6. Sell tickets (with help from Exec Board and Communications)
7. Buy supplies for event
8. Make signs for table and create/copy ballots for voting
9. Coordinate prizes for the winners.

Communications
Email PTA Board and Committee members weekly for Eblast reminder. Send email with compiled PTA information to Principal by Friday 8am. Consider direct email options for PTA members. Post announcements on Facebook page. Time commitment averages 30 minutes – 1 hour each week.

Continuation
Coordinate 8th Grade Continuation Picnic for last day of school with Manning Administration.

Reflections
Coordinate Manning’s participation in the PTA Reflections program with support from Jeffco and Colorado PTA.

Scrip Coordinator
Scrip is a fundraising program that sells gift cards. Manning averages 5% kick back on sales, but gift cards run between 1.5% and 16%. Coordinator works with Exec Board and Communications to promote and explain the program. Set up ordering schedule, typically one order per month.
Time commitment: Beginning of the year is the biggest chunk of time, approximately 5-10 hours, then maybe 1 hour per month to manage orders.

Silent Auction
Coordinates with Chili Cook-off Coordinator as these events are historically held the same night. Responsible for soliciting items for the auction and/or getting volunteers to request items. Volunteer time is flexible. Many companies require months of notice, so a few hours will be required in the summer to submit on line applications for donations. In person donations can be requested up to the auction date. Items may also be requested from the teachers and Manning staff. This role organizes all items before the auction, produces bid sheets for each item, and runs the auction night. Time commitment is flexible, approximately 30 hours total.

Spirit Wear
The Spirit Wear Coordinator is responsible for planning, designing, promoting and selling Manning apparel, with assistance from the Exec Board and Communications. The committee is responsible for selecting apparel vendors, Manning logos, and apparel styles, with Manning Principal approval. Logo approval will be obtained from the Principal and voted on at a PTA meeting.

Staff Appreciation
Organize meals for the teaching staff 5 times throughout the school year:
*Welcome Back luncheon for Staff
*Fall Conference Dinners (2 Nights)
*Holiday Luncheon
*Spring Conference Dinner (1 Night)
*Teacher Appreciation Week in May
Time commitment is approximately 5-10 hours total throughout the year.

Website
The Website Liaison shall be responsible for maintaining and update the Manning PTA website. Manning PTA currently uses digitalpto to host our website, which is a user friendly WordPress format so html knowledge is not necessary. The Exec Board and Committees will communicate information to the website liaison so that the website is updated and relevant.

Well Wishes
Coordinate 8th Grade Well Wish dedications. Input photos and dedications in yearbook layout program. Proof all submissions and input in yearbook layout format. Verify orders and payments. Contact families who have not submitted photos/dedications or payment by the deadline. Work is completed Jan-Apr.

Yearbook
The yearbook chairperson manages all aspects of the yearbook creation & sales. This includes coordinating with the vendor for ordering, printing, delivery, and billing. Assist various yearbook sub-committees (below) to proof writings, cross-check photos, and help as needed.
Yearbook Layout Editor:(Nov-Apr) Create page layouts for yearbook. This position is perfect for the person who likes to create photo books and/or who likes to work from home on the computer.
Photography Coordinator:(Sept-Apr) Take photos at all school wide events and everyday photos. This volunteer needs to be available for school events throughout the year.
